Conference Management

  • Assist with developing conference theme
  • Assist in development of conference brochures, programs and any other printed material (invitations, menus etc.)
  • Procure all conference accessories – e.g. corporate-wear, satchels etc.
  • Manage all audio visual requirements
  • Coordinate additional social activities to coincide with conference program
  • Coordinate partners programs if required

Speakers

  • Book speakers and negotiate fees
  • Liaise with speakers regarding travel, accommodation, audio-visual requirements
  • Coordinate ‘Call for Papers’ from prospective delegates

Exhibition and Sponsorship

  • Assist with design, layout of exhibition
  • Developing pricing structure for site fees / shell schemes
  • Liaise with sub-contractors
  • Sell the trade exhibition
  • Manage sponsorship requirements
  • Assist in development of sponsorship proposals
  • Assist in development of publicity campaign

Venue

  • Research and recommend venue
  • Negotiate favourable rates
  • Arrange food and beverage requirements

Special Events

  • Assist with planning of agendas / run sheets
  • Manage overall staging and audio visual production
  • Source and coordinate any entertainment requirements
  • Liaise with sub-contractors
  • Arrange any pre & post activities/tours etc.
  • Book accommodation / travel when required
  • Manage VIP and Protocol requirements
  • Full management of corporate functions and events

Administration

  • Prepare budgets according to client brief
  • Provide regular budget updates to clients and final reporting on completion
  • Prepare a critical path
  • Provide secretariat requirements
  • Arrange any licences / insurances / permits etc. as required
  • Supervise any external personnel, staff etc.
  • Co-ordinate all media requirements
